Community Guidelines

1. Welcome to The Pink Sphere
The Pink Sphere was created to offer supportive, respectful, and genuinely human spaces for connection, learning, reflection, and growth.
We want our communities to feel warm, safe, and free from pressure.
These Community Guidelines apply whenever you participate in any space connected to The Pink Sphere, including:

  • PINK Latte Club;

  • PINK Club;

  • The Panic Room WhatsApp group;

  • PINK Latte Club WhatsApp groups;

  • PINK Latte Club Coffee Meets;

  • The Panic Room Live sessions;

  • workshops;

  • educational events;

  • live programmes;

  • recorded programmes;

  • Mini Expert Sessions;

  • Inner Circle spaces;

  • private chats or channels managed by The Pink Sphere; and

  • any other online or offline community space operated by The Pink Sphere.

By joining or participating in one of these spaces, you agree to follow these guidelines.
2. Who Our Community Spaces Are For
The Pink Sphere was created to support women through different seasons of life, work, wellbeing, confidence, and personal growth.
Certain private community spaces, discussion groups, memberships, and interactive sessions are designed specifically for adult women.
Public educational content, selected workshops, programmes, and resources may be available to all adults unless the relevant listing states otherwise.
Unless clearly stated otherwise, you must be at least 18 years old to join a community space, attend an interactive live session, purchase a service, or participate in a WhatsApp group.
3. Keep It Kind, Honest, and Human
You do not need to arrive polished, positive, or perfectly put together.
You are welcome to be honest about having a difficult week. You are welcome to ask questions. You are welcome to listen quietly.
However, everybody deserves to feel respected.
When participating in The Pink Sphere, please:

  • communicate kindly;

  • allow different perspectives;

  • listen without judgement;

  • avoid interrupting or dominating conversations;

  • respect other people’s boundaries;

  • give others space to speak;

  • avoid making assumptions about somebody’s personal life;

  • use thoughtful language;

  • be mindful that people may be sharing vulnerable experiences; and

  • treat people with the same care you would expect in return.

4. No Bullying, Harassment, or Discrimination
We do not tolerate:

  • bullying;

  • intimidation;

  • harassment;

  • threats;

  • personal attacks;

  • shaming;

  • hate speech;

  • abusive language;

  • deliberate humiliation;

  • aggressive behaviour;

  • unwanted sexual comments;

  • discriminatory behaviour; or

  • repeated behaviour that makes another participant feel unsafe or unwelcome.

This includes discrimination or harassment relating to characteristics such as race, ethnicity, nationality, religion, disability, age, sex, gender identity, sexual orientation, pregnancy, relationship status, or any other protected characteristic.
We may remove a participant immediately where we believe their behaviour places another person at risk or seriously disrupts the space.
5. Respect Privacy and Confidentiality
Some conversations within The Pink Sphere may feel personal.
You must treat other people’s stories, identities, and personal information with care.
Do not:

  • share another participant’s story outside the group;

  • repeat personal information without permission;

  • copy private messages;

  • share screenshots;

  • photograph private sessions;

  • record audio or video;

  • forward messages from private groups;

  • redistribute chat content;

  • reveal another participant’s identity;

  • post another participant’s contact details; or

  • invite another person to observe a private session without permission.

What is shared in a private space should remain private.
Although we require participants to respect confidentiality, The Pink Sphere cannot guarantee the actions of every individual. Please use your own judgement when deciding what to share.
Do not disclose information that could place you or another person at risk.
6. WhatsApp Group Privacy
Some The Pink Sphere communities include optional WhatsApp groups.
These may include:

  • the PINK Club group, also known as The Panic Room; and

  • the PINK Latte Club community group.

When you join a WhatsApp group, other members may be able to see:

  • your phone number;

  • profile name;

  • profile photograph;

  • status information; and

  • messages posted in the group.

Do not join a WhatsApp group if you do not want your phone number or WhatsApp profile details to be visible to other participants.
By remaining in a WhatsApp group, you acknowledge that this information may be visible to others.
You must not:

  • export phone numbers;

  • copy another person’s contact details;

  • save numbers for unrelated purposes;

  • add members to mailing lists;

  • add participants to other groups without permission;

  • distribute WhatsApp group links;

  • share screenshots;

  • forward private conversations; or

  • contact another member inappropriately.

You may leave a WhatsApp group at any time.
Messages you have already posted may remain visible to other participants and may remain stored on their devices or within WhatsApp systems after you leave.
7. No Pitching, Selling, or Unsolicited Promotion
The Pink Sphere is a supportive space, not an unsolicited sales channel.
You must not use any group, live session, event, membership, or private community space to promote your own:

  • services;

  • products;

  • programmes;

  • memberships;

  • events;

  • courses;

  • social-media accounts;

  • WhatsApp groups;

  • mailing lists;

  • communities;

  • affiliate links;

  • discount codes; or

  • external platforms.

Do not:

  • send unsolicited promotional direct messages;

  • add members to an email list without permission;

  • repeatedly redirect conversations towards your business;

  • pressure participants to book a call;

  • promote offers through private messages;

  • use the community to collect leads;

  • harvest contact details; or

  • contact participants after an event for promotional purposes unless they have clearly requested it.

This rule applies to everyone, including:

  • members;

  • guests;

  • coaches;

  • experts;

  • collaborators;

  • contributors;

  • speakers; and

  • Inner Circle members.

An exception applies only where The Pink Sphere has expressly invited promotion in a specific context, such as:

  • an approved expert profile;

  • a planned speaker introduction;

  • an agreed event contribution;

  • an authorised collaboration; or

  • a designated promotional opportunity.

8. Unsolicited Advice and Professional Boundaries
Please avoid diagnosing, analysing, or attempting to “fix” other participants.
You may share your own experience where appropriate, but do not pressure another person to follow your advice.
Do not make misleading professional claims or present personal opinions as medical, therapeutic, legal, or financial advice.
Experts, coaches, collaborators, contributors, and speakers must remain within their own professional boundaries.
A group conversation is not a substitute for individual professional support.
9. The Pink Sphere Is Not a Crisis or Therapy Service
The Pink Sphere provides community spaces, educational resources, reflective discussions, and opportunities to connect with independent experts.
Unless clearly stated otherwise, The Pink Sphere does not provide:

  • emergency support;

  • crisis intervention;

  • medical advice;

  • psychological diagnosis;

  • psychotherapy;

  • psychiatric care;

  • legal advice;

  • financial advice; or

  • a substitute for professional care.

If you are experiencing an emergency, believe you may be at risk of harm, or need urgent support, please contact the appropriate emergency service or a suitably qualified professional immediately.
10. Camera Rules for Private Live Sessions
PINK Latte Club Coffee Meets and The Panic Room Live sessions are private, interactive community spaces.
These sessions are not recorded by The Pink Sphere.
Unless the host agrees to an exception, participants must keep their cameras switched on throughout the session.
This helps us maintain:

  • trust;

  • privacy;

  • presence;

  • accountability; and

  • a connected group environment.

If you need an exception because of accessibility, safety, privacy, caring responsibilities, or a temporary technical issue, please let the host know.
Participants must not:

  • record the session;

  • take screenshots;

  • photograph the session;

  • copy the chat;

  • allow another person to listen off-camera; or

  • invite somebody else to observe the session without permission.

Please join from a reasonably private environment where possible.
11. Recorded Workshops and Educational Events
Certain workshops, educational events, and live programme sessions may be recorded for replay access or educational use.
Where a session will be recorded, we will provide notice through the event listing, confirmation email, reminder email, or an announcement at the beginning of the session.
If you do not wish to appear in a recording:

  • keep your camera switched off;

  • remain muted unless necessary;

  • avoid posting identifiable personal details in the public chat; and

  • contact the host privately if you want to ask a question.

If you choose to speak, appear on camera, or share a message in the chat after being informed that the session is being recorded, your contribution may appear in the replay.
Participants must not independently record, copy, download, redistribute, sell, or publish event recordings unless written permission has been provided.
We will not intentionally use an identifiable participant’s contribution as a testimonial, promotional clip, or marketing asset without separate permission.
12. Respect the Host and the Space
Please follow reasonable instructions given by the host or community administrator.
This may include instructions relating to:

  • privacy;

  • cameras;

  • recording;

  • group links;

  • session timings;

  • speaking turns;

  • chat use;

  • promotional boundaries;

  • accessibility;

  • safety; and

  • respectful participation.

Do not deliberately disrupt a session, spam the chat, repeatedly interrupt others, or prevent other participants from taking part.
13. Mini Expert Sessions
Mini Expert Sessions are introductory sessions booked and paid for through The Pink Sphere.
The selected independent expert may contact you for necessary administration relating directly to your booking, including:

  • scheduling;

  • rescheduling;

  • confirmation;

  • access instructions; and

  • necessary follow-up relating to the Mini Expert Session.

Booking a Mini Expert Session does not give an expert permission to add you to a mailing list or send unrelated promotional messages without your separate consent.
If you decide to continue working with an expert afterwards, the continued service is arranged directly with that expert through their own platform, at their own rate, and under their own terms.
14. Independent Experts and Contributors
Coaches, experts, collaborators, contributors, and guest speakers featured within The Pink Sphere operate independently unless clearly stated otherwise.
Their personal views, advice, content, statements, and external services do not necessarily represent The Pink Sphere or its owner.
Independent professionals are responsible for their own:

  • qualifications;

  • professional boundaries;

  • insurance;

  • claims;

  • services;

  • advice;

  • external communication;

  • privacy responsibilities; and

  • client relationships.

Please use your own judgement before purchasing or continuing with any external service.
15. Sharing Content Within the Community
Do not upload or share content that:

  • belongs to somebody else without permission;

  • infringes copyright;

  • contains another person’s private information;

  • includes harmful or unlawful material;

  • contains misleading claims;

  • is sexually explicit;

  • promotes violence;

  • encourages discrimination;

  • is deliberately offensive; or

  • risks the safety or wellbeing of others.

You remain responsible for the content you choose to share.
16. Protect The Pink Sphere Materials
Content and resources provided by The Pink Sphere are for your personal use unless written permission states otherwise.
Do not:

  • share paid materials;

  • share login details;

  • forward private downloads;

  • upload resources elsewhere;

  • distribute recordings;

  • reproduce frameworks;

  • copy programme content;

  • sell materials;

  • teach protected content commercially; or

  • use The Pink Sphere branding without permission.

17. Reporting a Concern
If something does not feel right, please let us know.
You can report:

  • inappropriate behaviour;

  • unsolicited sales messages;

  • harassment;

  • privacy breaches;

  • screenshots;

  • shared contact details;

  • suspicious messages;

  • misleading professional claims;

  • misuse of group links; or

  • content that may place somebody at risk.

Where possible, include:

  • your name;

  • the relevant group or event;

  • the date;

  • a brief description; and

  • any helpful screenshots or information.

Please do not publicly confront another participant if doing so may escalate the situation.
18. Moderation, Removal, and Suspension
We may take reasonable action where somebody breaches these guidelines or where action is needed to protect the community.
This may include:

  • removing a message;

  • asking a participant to stop certain behaviour;

  • issuing a warning;

  • muting or removing somebody from a group;

  • removing somebody from an event;

  • restricting access;

  • suspending an account;

  • terminating a membership; or

  • permanently preventing somebody from returning to a community space.

We may act immediately and without prior warning where reasonably necessary, including in cases involving:

  • harassment;

  • threats;

  • discrimination;

  • serious privacy breaches;

  • unsafe behaviour;

  • unsolicited selling;

  • repeated boundary violations;

  • misuse of personal information;

  • fraudulent activity;

  • unlawful conduct; or

  • behaviour that could harm participants or the safe operation of the platform.

Any refund entitlement will be considered in accordance with applicable law and our Refund & Cancellation Policy.
19. Changes to These Guidelines
The Pink Sphere is an evolving platform.
We may update these Community Guidelines where reasonably necessary to reflect changes to our services, communities, technology, or legal obligations.
The latest version will be published on our website with the updated date.
